4.3 Specify Format, Tone, and Limits
Goals and background determine what to write; output requirements determine how to deliver it. Common formats include paragraphs, lists, tables, emails, and step-by-step instructions. Common tones include formal, friendly, concise, and encouraging.
Format should serve the use. A table suits comparing options; a checklist suits action; complete email form suits content meant to be sent. Tone should match the relationship and situation rather than merely sounding “more advanced.”
Constraints can conflict
“Under 30 words, but explain the full background, list five steps, and include three examples” is difficult to satisfy. AI may ignore one requirement or compress the content until it becomes unclear.
State priorities, for example: “Preserving the date and place accurately matters most; exceed 80 words slightly if necessary.” Make measurable requirements specific, but avoid restrictions that serve no purpose.
